Congratulations – You’ve just been assigned as PM for the “Luxury Home” project by Ace Construction Company. The previous PM left the job and is no longer in the area. There is no charter, scope statement or any other information about the project except the MsProject schedule the PM left – I’ve attached it to this assignment. At least the schedule is complete with resources and costs and is ready to be baselined with no over-allocated resources. By next week you will be expected to file a Performance Evaluation Report for this project. This week you will set up the schedule for collecting data, and collect and record the data.

Here are the specific steps for this assignment:
Part 1 – Prepare the Schedule Data
Review the schedule, resources and costs to get familiar with the project
SET A BASELINE – important, don’t go on to the next steps until you’ve done this. If you don’t remember how to do this in MsProject, then review the MSProject information included in this week’s materials.
Decide when you want to collect variance data for this project – you can use periodic or milestone reviews or both.
Add at least 3 milestone “tasks” in the project to show when these reviews will take place. You may add as many as you like – but you’ll only need to collect the data and report on 3 of them. The three you choose to report on should be about equally spaced in the 11/1/10 to 3/15 time frame.
After you add the 3 Performance Review milestone dates where you’ll stop to collect variance data, change the font color for those 3 task rows to RED when they are viewed in a Gantt Chart. (This just makes them easier to track for this exercise.) Hint: If you haven’t done this before, just highlight the rows and select Format…Font from the menu – you’ll see the drop down box where you can select Red just for the highlighted tasks.
Enter progress on the tasks from the project start through the first milestone only. If some of the tasks haven’t started yet, then you can leave them alone. Also enter Actual start and finish dates and Actual Duration if there is a variance from the baselined dates and/or durations. Make sure that at least 25% of your tasks show some variance from the baseline.
Remember that a split screen view with a Tracking Table in the top view and a Task Form in the lower window is the best way to do this as shown in the demo.
When you’ve completed Step 5, enter the date of this first Performance Review milestone as the Status Date in Project’s Project Information dialog box.
View the project statistics at this point and record the information or take a snapshot of the Statistics dialog box when it pops up.
View the Earned Value for the measures I discussed in the lecture this week – including SV and PV.
What does this tell you about the project so far? You’ll need to think about this for your report. (See Part 2)
Don’t enter any more information in the project or it will affect your later milestone measurements. Wait until you’ve recorded and analyzed the additional EVM measurements we’ll discuss next week.

View and record the results for all of the EVM measures I discussed in all of the lectures. What does this tell you about the project so far? You’ll need to think about this for your report. (See Part 2)

Now reset the Status Date to the second milestone. Enter progress on the tasks from the project start through the second milestone only. If some of the tasks haven’t started yet, then you can leave them alone. Also enter Actual start and finish dates and Actual Duration if there is a variance from the baselined dates and/or durations. Make sure that you have some variances on at least 25% of your tasks.
Repeat steps 2 and 3 for the new information as of the second milestone, making sure you record all of this data.

Finally, reset the Status Date to the third milestone. Enter progress on the tasks from the project start through the third milestone only. If some of the tasks haven’t started yet, then you can leave them alone. Also enter Actual start and finish dates and Actual Duration if there is a variance from the baselined dates and/or durations. Make sure that you have some variances on at least 25% of your tasks.

Part 2 – Prepare the Final Performance Evaluation Report
Now you have all of the information you need to complete the report, including your analysis of the results. Your grade will be based on:
Selection of appropriate milestones with an explanation of why you chose them
Project that shows at least 25% variance with a variety of variances including different Start and/or Finish dates or durations than originally planned
Accurate reporting and interpretation of project statistics at each milestone – this doesn’t mean just listing them; it means explaining what each one means specifically for this project
Appropriate documenting all EVM measures at each milestone
Accurate interpreting of EVM variances and forecasts at each milestone- this means analyzing and explaining the meaning of each of the EV statistics we discussed in these past two weeks
Appropriate recommendations for getting the project back on track make these recommendations at the end of each milestone report; discuss them in terms of this project. What tasks are causing the delays? What can be done about them?

A short but appropriate statement of the purpose of the evaluation.
